Puente is seeking an Office Assistant who will be the first point of contact for the organization. The Office Assistant should have a clear understanding of all departments in order to assess needs and direct program participants and visitors to the appropriate departments. This position will provide administrative support for the organization.

ResponsibilitiesGreet and determine needs of every visitor to Puente in person or by phone.Triage visitors to the right department or person or resources.Provide office support services to ensure efficiency and effectiveness within the Puente offices.Provide administrative support to directors with documents as needed (copies, scanning, faxing, signatures, distribute). Check-in with supervisor to notify them of any special projects.Pick up mail from post office and distribute mail internally.Track interactions with participants in the front desk log and enter those efforts into Clarity on a weekly basis.Assist in the planning and preparation of meetings and conferences; set up & clean up (only for internal staff purposes and for ED and PD).Assist Puente's Executive Director and Executive Assistant as needed.Efficiently order, maintain and keep organized an inventory of office supplies as needed, including paper, water, coffee, and bathroom supplies (takes inventory of other departments' supplies).Responsible for maintaining admin shed organized.Keep reception information updated including business cards, referral forms, application forms, program flyers, etc., and reception space organized as directed by Executive Assistant.Assist donors regarding financial (fund development) and in-kind donations by reaching out to program director.Maintain kitchen orderly and clean.Other duties as necessary as required by supervisor, DOD (Director Of the Day) in absence.Attend staff meetings, retreats, and other meetings as needed and participate in organizational events, including trainings, fundraising, and program meetings.Provide organizational support as needed.Drive participants as needed for programming or organizational needs using Puente vehicles and/or personal vehicles.Maintain confidentiality about participant's personal information, cases, and services as well as other situations as instructed by leadership.Puente de la Costa Sur has the right to update job descriptions as needed to meet the needs of the organization.QualificationsAA Degree OR three years of relevant professional experience.Experience with in-person and over the phone customer service.Able to handle complex situations semi-independently.Experience working in a hybrid environment, preferred.Knowledge of the South Coast or experience working in a rural community, preferred.Ability to work effectively as part of a culturally diverse team.Availability to work some nights a week and occasionally on weekends.Competent written and verbal communication skills in English and Spanish.Competent skills with Microsoft Office products, including Word, Excel, Outlook, and TEAMS.Current California Driver's License and ability to drive to work-related functions in and around Pescadero, La Honda, Loma Mar, San Gregorio, Half Moon Bay, and the Bay Area.Cultural competency to work with community members from diverse backgrounds, class, and race.
