About The Role & Team As a Project Coordinator, your primary responsibility will be to assist and coordinate projects that make travel easy and safe for our customers at every step of the way, while also promoting sustainability and cultural diversity. This role thrives in a fast-paced, dynamic, and agile environment that spans the globe and welcomes cultural differences. Additionally, you should be proficient in procurement and logistics, people relations, and be committed to creating sustainable value for our customers and the environment. What You'll Do Project administration - As a Project Coordinator, one of your key responsibilities will be project documentation and administration. This involves creating and distributing meeting agenda items and meeting minutes, logging and raising risks and issues to project team, documenting the lessons learnt, handling the close-out process documentation requirement and managing recycling activities. Your ability to write clearly and accurately is crucial to the success of the project. Project research - Conduct research on various topics and issues that support assigned project work. Research can include analyzing and reviewing past project documentation and lessons learnt, collecting and consolidating Customer Satisfaction Survey results, and researching improvement activities that can have a positive effect on project work assigned. Project other activities - As a Project Coordinator, you contribute to or create various project documentation such as the Procurement and Logistics Plan, Environmental Plan, and assist other project team members as needed. Depending on project scale, you may also be involved in inventory and warehousing tasks, ensuring the adherence to warehousing practices, proper storage, health and safety requirements, and the use of specific warehouse equipment. Additionally, you play a vital role in the project's quality process, by monitoring and guiding the team to meet quality standards while identifying and addressing any potential gaps. Project Procurement and Logistics - Collaborate with the procurement department to manage the procurement of goods and services required for the project. Communicate the project requirements, budgets, and timelines to the procurement team and check the status of goods and materials that are being procured for the project. Coordinate with the Shipping team and suppliers to track delivery dates and ensure that goods are received as scheduled according to SITA Sanction Policy and export control laws and regulations. Collaborate with the accounts payable team and suppliers to ensure that payments are made according to the agreed-upon terms and schedules. Additionally, effectively handle any logistic delays resulting from supply chain or other factors aiming to address and minimize the impact on the project deliverables. Qualifications ABOUT YOUR SKILLS You have experience in project management and have assisted project managers on one or more projects within a commercial environment. You have purchasing and/or logistics experience. Advanced English proficiency. Portuguese/Spanish are highly desirable. Business or Administrative degree or equivalent experience.
