Position Overview: The Onboarding Coordinator will take full ownership of the onboarding process for new clients and properties.
This role requires a highly organized individual who excels in managing multiple projects simultaneously.
You will work closely with engineering and sales teams to ensure a seamless transition to our property management software, ultimately enhancing client satisfaction and retention.
Key Responsibilities : Onboarding Ownership : Oversee the entire onboarding process from start to finish.
Ensure all onboarding tasks are tracked and pushed forward efficiently with support from the engineering and sales teams.
Maintain obsessive organization and speed to prevent any issues from falling through the cracks.
Async Work : Use ClickUp to meticulously track and document every aspect of onboarding for each project.
Ensure project management systems are updated so that team members can access information without direct communication.
Data Management : Set up and test API integrations to ensure seamless data flow (tools provided, no coding required).
Coordinate the setup of CSV reports and other client-specific requirements.
Gather and manage user lists for each property being onboarded.
Quality Assurance : Conduct thorough QA assessments of portfolios before launching new accounts or properties.
Utilize provided tools to confirm all aspects are correctly set up and swiftly address any issues.
Client Communication : Proactively communicate with clients to provide updates and address any issues.
Comfortably read, write, and speak English with highly educated American clients.
Problem Solving and Improvement : Collaborate with internal teams to resolve technical issues and ensure client satisfaction.
Continuously identify and implement opportunities to improve and streamline the onboarding process.
Qualifications : 7-10 years of experience in project management or client onboarding, preferably with American clients.
Obsessive organizational skills and a strong dislike for disorganization.
Proven ability to manage multiple concurrent onboarding projects without dropping the ball.
Strong proficiency in English, both written and spoken, for effective client communication.
Advanced proficiency with project management software, particularly ClickUp.
A proactive approach to suggesting and implementing process improvements.
Nice-to-Haves : Experience with Hubspot CRM.
Background in the property management industry.
