Job SummaryAt Create More Music, we're looking for an Office Manager to drive outstanding client experiences and provide essential support for our team and clientele. The ideal candidate will manage client services, teacher relations, and process administration, ensuring seamless operations and meaningful client engagement. With an emphasis on client satisfaction, the role focuses on personalized service, from coordinating schedules to solving complex client issues and supporting our educational community. Responsibilities Client engagement & support: Act as the main point of contact for client interactions, addressing inquiries via phone, email, and web leads, and offering personalized assistance. Scheduling & coordination: Efficiently manage client and teacher schedules using advanced scheduling tools, update calendars, and coordinate resources to meet client needs. Process management: Oversee client onboarding and lead conversion by managing sales workflows and maintaining CRM systems with accurate, timely data entry. Billing & invoicing: Handle accounts receivable, including preparing weekly, monthly, and semesterly invoices and managing client billing inquiries. Administrative support: Ensure smooth operations through organized follow-up, email management, and maintaining updated operational workflows. Cross-functional support: Collaborate on marketing initiatives, support community outreach projects, and assist with blog content and campaign management when needed. Customer service excellence: Build strong client relationships through proactive, solution-focused problem-solving and exceptional communication. Requirements Proven track record in customer service or client-facing roles; experience implementing organizational processes across teams is highly preferred. Proficiency in Microsoft Word, Excel, Google Suite, and CRM tools; experience with scheduling and customer service software. Bachelor's Degree or equivalent experience is preferred. Familiarity with music styles, instrument families, or music pedagogy is a plus. Strong attention to detail, exceptional communication skills, a proactive attitude, and a stable, private wireless internet network.
