Responsibilities: Administrative Duties Manage the CEO's calendar and email, including coordinating meetings, conference calls, and personal engagements. Arrange detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings. Screen incoming calls, emails, and meeting requests, making decisions on priority action items. Prepare and edit correspondence, reports, and presentations on behalf of the CEO. Chief of Staff Role Act as the primary point of contact between the CEO and internal/external stakeholders. Prepare meeting agendas and take minutes during meetings, ensuring that key takeaways and action items are followed up on. Assist in the preparation and management of projects and strategic initiatives, serving as a project manager when needed. Conduct research and assist in data analysis for strategic decision-making. Be responsible for expense reports and act as a liaison for accounting/finance teams. Serve as a liaison between the CEO and the executive team, ensuring smooth communication and prompt resolution of requests and questions. Public Engagements, Conferences, Podcast Interviews Coordinate podcast appearances, interviews, speaking engagements, and other public events for the CEO. Help prepare talking points, presentations, and materials for such engagements. Ensure that the CEO's branding and messaging is consistent across all platforms and events. Personal Assistance Assist with personal tasks and errands, as required. Manage confidential information with complete discretion. Requirements: Minimum of 5 years of experience in an executive support role; experience supporting C-level executives is a plus. Great with spreadsheets and numbers. Quickbooks experience a plus! Ability to work independently and as part of a team. Ability to take direction, set priorities, and see assigned tasks through to completion. Strong communication skills + EQ. Ability to handle sensitive and confidential information with discretion. High degree of organization and attention to detail. You are the most organized person you know!
