Remote Executive Assistant Support Our Leadership Team in Making a Difference with Drone Technology We are a cutting-edge drone company that helps protect communities from major loss events, like hurricanes, using drone data. We also provide support for Landscaping, Construction, and Community Compliance for large communities across the US. We're looking for a motivated Executive Assistant to work directly with our leadership team and play a key role in keeping our operations running smoothly. About the Role You'll be working closely with our CEO and CFO, a husband-and-wife power couple who lead with vision and heart. You'll be their go-to person, helping to manage everything from scheduling services to drafting reports, with a few light procurement tasks sprinkled in. We need someone who's organized, proactive, and ready to tackle a variety of tasks in our fast-paced environment. What You'll Do: Answer and manage inbound phone calls (20-40 per month) via Grasshopper VOIP, ensuring calls are directed or handled professionally. Schedule services in our HUB system and keep our team informed on what's happening. Call select clients to check in, provide updates, and ensure their needs are being met. Draft and refine reports for both internal use and client presentations. Assist in managing the CEO and CFO's calendars, coordinating meetings, and scheduling appointments. Help order supplies and manage light procurement tasks, such as ordering from Vistaprint. Organize and prioritize tasks to ensure deadlines are met. Track project progress and follow up with team members to keep everything on track. Handle email correspondence, helping to draft responses and keeping communication flowing. Assist with travel arrangements, events, and other logistics. Maintain confidentiality and manage sensitive information. What We're Looking For: Fluency in English (near-native level) with a low accent for seamless communication. Highly organized with excellent time-management skills. Experience using Google Workspace, Coda, and Desktime is a plus. Strong written communication skills to draft polished reports and emails. Ability to work independently, solve problems, and think on your feet. A warm, friendly attitude with a professional approach to everything you do. Work Hours: Monday to Friday, 8:00 am – 6:00 pm US Eastern Time. On-call hours : 8:00-9:00 am and 5:00-6:00 pm are designated on-call hours for answering phones.
