About the Role: We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our C-Suite Executive.
The ideal candidate will be a detail-oriented professional with outstanding calendar management abilities, excellent communication skills, and a remarkable capacity to respond swiftly and effectively to dynamic business needs.
As the Executive Assistant, you will play a pivotal role in ensuring the seamless operation of the executive's office and contribute to the overall success of the organization.
Responsibilities include but are not limited to: Calendar Management: Efficiently manage the executive's calendar, scheduling and coordinating appointments, meetings, conferences, and travel arrangements.Prioritize conflicting demands, anticipate scheduling conflicts, and recommend solutions to optimize the executive's time.Communication: Act as a liaison between the executive and internal/external stakeholders, effectively conveying messages and instructions with utmost professionalism.Craft and draft emails, memos, reports, and other communications on behalf of the executive.Display exceptional responsiveness by promptly attending to incoming communication, requests, and inquiries on behalf of the executive.Address urgent matters and manage last-minute changes to the executive's schedule with poise and adaptability.Administrative Support: Provide comprehensive administrative support, including managing correspondence, preparing presentations, and handling expense reports.Maintain an organized filing system, ensuring easy retrieval of documents and information.Travel Coordination: Arrange complex domestic and international travel logistics, including flights, accommodations, transportation, and itinerary planning.Ensure the executive's travel arrangements align with their preferences and business requirements.Event Coordination: Assist in organizing and coordinating events, meetings, and conferences, both internal and external.Collaborate with other team members to ensure the seamless execution of events.Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality.Problem Solving: Quickly and proactively resolve issues and challenges that arise in the course of supporting the executive, demonstrating resourcefulness and good judgment.Requirements: Bachelor's degree preferred or equivalent work experience.1-2 years experience as an Executive Assistant supporting high-level executives, department heads/leads based in an English speaking country.Previous experience working in a digitally focused organization, digital marketing preferred.Exceptional organizational skills and the ability to multitask effectively.Excellent written and verbal communication skills.Proficient in using office software and tools, including calendar management applications.Strong problem-solving skills and the ability to work well under pressure.High degree of professionalism and the ability to interact with individuals at all levels.Strong interpersonal skills and the ability to work both independently and as part of a team.Demonstrated ability to maintain confidentiality and handle sensitive information.Must type 55 words per minute or higher.Our interview process includes, but is not limited to the following: Excel knowledge and Typing Test.
