Position Overview :
The Executive Assistant and Global Team Coordinator will play a critical role in supporting the CEO and coordinating the activities of a global talent team.
This position is responsible for providing high-level administrative support, facilitating communication, and ensuring the smooth integration and operation of the global team.
The ideal candidate will proactively help the CEO optimize their time for strategic initiatives and maintain accountability within the team.
Key Responsibilities :
Executive Support :
- Provide comprehensive administrative assistance to the CEO, including managing calendars, handling email correspondence, and organizing meetings.
- Prioritize tasks and projects to ensure the CEO's focus remains on high-impact, strategic activities.
Global Team Coordination :
- Build and maintain strong relationships with the global talent team, currently located in the Philippines, across various departments such as accounting, logistics, and marketing.
- Ensure team members are held accountable for their responsibilities and project deadlines are consistently met.
- Act as a liaison between the CEO and the global team, ensuring clear and effective communication and alignment on objectives.
Software and Tools Management :
- Utilize and manage tools such as Monday.com, Office 365, Excel, TimeDoctor, and iSolved to track tasks, monitor time, and oversee payroll processes.
- Provide support and training to the global team on using these tools effectively to enhance productivity and collaboration.
Qualifications :
- Proficiency in Microsoft Office 365, particularly Excel.
- Experience with project management platforms like Monday.com.
- Familiarity with time-tracking software such as TimeDoctor.
- Knowledge of cloud-based payroll systems like iSolved or QuickBooks Online.
- Exceptional organizational and communication skills.
- Ability to manage multiple priorities in a fast-paced, remote work environment.
- Experience in coordinating and integrating global teams with a proven ability to work effectively within cross-cultural environments.
Nice-to-Haves :
Experience with iSolved is highly desirable.
