About the Role: The Event Producer will provide event execution for 6 to 8 events across North America. Tactical execution will revolve around assisting the Show Director in developing key parts of each event's timeline/production schedule, owning the on-time and on-budget execution of the assigned parts of the timeline/production schedule, developing the assigned timeline/production schedule elements, sourcing internal resources or external suppliers for these elements, and ensuring adherence to budgets and on-time delivery. You will manage sponsor communication, deliverables, and execution, ensuring all sponsor objectives are met through effective coordination and timely updates. Additionally, you will oversee speaker communication and management, including scheduling, briefing, and on-site support, to ensure smooth participation and alignment with event goals.
The ideal candidate is a highly collaborative problem solver demonstrating positivity and a "can do" attitude. 3+ years of in-person event experience and 1+ years of virtual event experience. Conference, Awards and experience with events in the CPG, Retail, Drug/Pharmaceutical, Convenience, Restaurant, Hotel, and Grocery industries is a plus.
Key ResponsibilitiesLead all show production elements for in-person events. Collaborate closely with the Event Director to coordinate logistics, timelines, costing, and other show-related information.Develop and oversee the event mobile app platform for applicable events.In collaboration with the Event Director, create production schedules and runs of the show for rehearsals and day-of-event execution.Ensure all scripts have been received, reviewed, and verified against the production run of the show.Act as the primary contact for sponsors, managing end-to-end communication to ensure all requirements and expectations are met.Coordinate and execute sponsor activations, including gathering requirements, scheduling, and on-site support to ensure successful setup and implementation.Provide sponsors with proper training on technical platforms as needed and ensure they have the tools and support for seamless participation.Create and distribute sponsor-related documentation for each event, including the Sponsor Show Kits, FAQ, support materials, and other communications.After introductions by the content director, engage directly with all speakers to coordinate event-related elements such as recordings, rehearsals, and arrival times.In partnership with the Event Director, collect all AV and technical requirements from presenters.Collect and distribute all speaker-related materials, including presentation slides, bios, headshots, and waivers.Develop and manage comprehensive speaker communications, including Speaker Show Kits, FAQs, and event details to ensure a smooth experience.Handle any issues as and when they arise and oversee problem resolution.Schedule appropriate parties for staging and technical rehearsals.Work with the Event Director to coordinate logistics (i.e. stage furniture rentals, green room requirements, etc.).Work collaboratively with appropriate parties to ensure objectives are met.Manage Sponsor Relationships and Activations Work with internal stakeholders to properly understand their objectives to develop show experiences.Work with external stakeholders and vendors to understand and develop mutually beneficial event best practices documentation and timelines.Minimum Qualifications3+ years of in-person event experience.Speaker management and sponsorship management experience required.C1 English verbal and written proficiency.Highly collaborative problem solver demonstrating positivity and a "can do" attitude.EnsembleIQ is an equal-opportunity employer committed to diversity and inclusion.
