ADMIN & COMMUNICATION SPECIALIST The GBS Site Admin & Communication Specialist will be responsible for performing, controlling and supporting the administrative and internal communication processes that make up the Site, delivering support to the IRM Legal entity (IMS). Collaborating with all local leaders and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional and capable of prioritizing tasks. This Specialist will be tasked with either standing up Bogota GBS Site administration and internal communications to ensure the proper support under the legacy shared services to the new GBS model generating value across four performance categories: Site Management, Service Delivery & Operational Efficiency, Financial Performance & Compliance and employee lifecycle management. Reporting to the GBS Bogota Site Leader. The Site Admin & Communication Specialist is a key member of the Site and will be responsible for performing the GBS Hub support processes by providing coordinated and operational site administration across the Hub. Key Responsibilities Inventory management: Keep track of all site equipment (Desktops, Mobile Phones, Appliances, and Furniture etc.) Office supplies: Purchasing and stock availability of supplies needed for people at the Site level. GBS Hub Compliance Activities: Follow up and reporting of compliance activities aim to keep Security & Health, Equipment & Building, People & Talent, and Finance & Legal at Site level. Office management: Assess & consolidate the real estate needs of key stakeholders at Site level to connect with the proper responsible areas for execution. Ensure coordination of activities between functions and supporting site governance for consistency. Reception: Welcoming people to the site and providing guidance to new hires and employees. Employee Communications: Content Development for All Hands Meeting, Preparing presentations required to give an overview of the site. Visitors/Delegates Schedule Management: Preparing Agenda/Schedule of Dignitaries/ Visitors/ Delegates coming to IMS, Setting up meeting calendars, MOM's for meetings. Employee Engagement: Event Management for special days like Family Day, Sports Day etc., Survey roll outs, Event branding mailers. Manage the R&R Process: Collecting Nominations for awards (includes follow ups), Preparing the presentation for discussion on the nominations received, Scheduling & moderating the meeting with Panel and deciding on finalists, Advising Payroll for the reward payout, Procuring trophies for Annual Awards. Training & Development: Scheduling of training sessions, Collecting nominations, Soft Skill training programs for employees (Includes follow ups). Qualifications Associates or Bachelor's Degree in Business, Administration, Economy. 2-3 years' experience in a similar role. Advanced Microsoft Office/Google Suite skills, with an ability to become familiar with firm-specific programs and software. Time management & organizational skills. Proficiency in collaboration and prioritizing tasks. Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
