Schedule : 7:30 AM to 4:30 PM Monday to Thursday and 7:30 AM to 3:30 PM Friday (39.7 hours) Timezone: BST Job Summary : The Document Controller will support the smooth operation of projects by managing the flow of information and documentation efficiently.
This role involves ensuring the accurate mark-up, revision, and distribution of drawings while maintaining comprehensive records for site teams, design teams, subcontractors, clients, and external suppliers.
The Document Controller plays a crucial role in maintaining project organization and compliance with internal and client guidelines.
Key Responsibilities: Document Management: Maintain company filing systems, ensuring accurate organization and easy access for team members.
Number documents for identification and reference according to company and client guidelines.
Archive and maintain records for both active and completed projects.
Coordination and Collaboration: Work closely with project team members to verify document requirements and fulfill necessary tasks.
Append comments, track revisions, and submit documents into project systems or client portals.
Liaise with site teams, design teams, subcontractors, and suppliers to ensure proper document flow.
Drawing and Document Control: Review and monitor the progress of drawing revisions.
Ensure controlled copies of the latest approved documents and drawings are accurately stored and uploaded into the system.
Upload "As-Built" drawings to client portals to ensure compliance and accurate information recording.
Technical Documentation: Collect and create technical documents, including drawings and Operations & Maintenance (O&M) manuals, for both internal records and client requests.
Ensure that all internal records and trackers are updated as required and contain accurate, up-to-date information.
Document Audits and Reviews: Conduct regular reviews and audits of documents to ensure accuracy and compliance with company and client requirements.
Archive documents and update records when projects or documents reach the end of their lifecycle, keeping company folders current.
Requirements Education and Experience: High school diploma or equivalent required; Bachelor's degree in a relevant field is a plus.
Previous experience in document control, project administration, or a related role.
Experience with document management systems, project portals, or similar tools.
Skills: Excellent organizational skills with a high level of attention to detail.
Proficiency in document management software and Microsoft Office Suite.
Strong communication skills, both verbal and written, to interact with project teams and external stakeholders.
Ability to work independently and manage multiple tasks simultaneously.
Knowledge: Familiarity with construction or engineering industry documentation standards is preferred.
Understanding of document numbering systems and compliance with client guidelines.
