Position Overview: We are seeking a dedicated and detail-oriented Customer Service and Order Processing Specialist to join our team.
The successful candidate will be responsible for delivering excellent customer service, accurately processing orders, coordinating shipments, and managing billing tasks.
This role requires strong communication skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities: Customer Interaction: Answer incoming phone calls, address customer inquiries, and provide accurate information on products, orders, and services.
Assist customers with placing orders and resolving any issues with their purchases.
Order Processing: Accurately enter customer orders into the system, ensuring all details are correct.
Prepare and process quotes for the sales team, including repair tickets and specialized orders.
Collaborate with the warehouse team to ensure orders are fulfilled and shipped promptly.
Shipping Coordination: Book Less Than Truckload (LTL) shipments and coordinate with carriers to ensure timely delivery.
Prepare Bills of Lading (BOL) and shipping labels for outgoing shipments.
Track shipments and update customers on delivery status.
Billing and Invoicing: Match delivery tickets from the warehouse with orders and process them for billing in the system.
Generate and send invoices to customers via email daily.
Address any billing inquiries or discrepancies promptly and professionally.
Qualifications: High school diploma or equivalent; additional education or training in customer service, logistics, or a related field is a plus.
Proven experience in a customer service or order processing role.
Strong communication and interpersonal skills.
Proficiency in using computer systems and software for order entry, billing, and shipping.
Excellent attention to detail and accuracy in data entry.
Ability to multitask and prioritize tasks in a fast-paced environment.
Familiarity with LTL shipping and billing processes is preferred.
Nice-to-Haves: Experience interacting with US customers.
Familiarity with order entry/accounting/ERP software (training provided for niche software).
