About the Role In this senior position, you'll be the operational linchpin across the founder's professional and personal spheres.
You'll help align his workout schedules with business commitments, ensure his training plan stays on track, and scout optimal gym facilities when he travels.
This is a fully remote position, ideally for someone in Latin America with native-level English proficiency who can collaborate across different time zones.
Key Responsibilities: Personal Life Support Calendar & Admin Emails: Maintain the founder's calendar to balance both business commitments and his training schedule.
Event Planning: Coordinate personal events and recurring meetups.
Manage logistics such as invitations, RSVPs, food ordering, and vendor communication.
Travel Coordination: Research travel plans and accommodations with the founder's training needs in mind.
Identify suitable gyms or training facilities in various locations.
Household Management: Communicate with vendors and service providers for three different residences.
Athletic Training Support Schedule Optimization: Work closely with the founder to incorporate daily or weekly training sessions into his calendar.
Gym & Equipment Research: Learn the founder's specific workout preferences and arrange suitable gym access or training spaces.
Coordination: Collaborate with the founder and his coaches or trainers to keep training schedules updated.
Company & Professional Support Project Management: Streamline Notion workspaces and own Asana task coordination.
Build tasks, assign deadlines, and collaborate with team members to drive projects forward.
Attend meetings, capture action items, and create relevant documents or presentations.
Proactively handle tasks independently, freeing up the founder's time.
Administrative Workflow: Handle inbound requests and digital mailboxes.
Coordinate with internal teams and external partners on small to mid-size projects.
System & Process Improvement: Identify outdated processes and revise them with minimal reliance on the founder's time.
Keep Asana boards and other tools updated.
Track progress on complex tasks like legal structures and financial filings.
Follow up with external parties to keep workflows on schedule.
Requirements Proven Experience: Background in consulting, investment banking, startup operations, or prior chief of staff/executive support roles.
Native-Level English: Exceptional written and verbal communication skills for drafting professional documents and liaising with stakeholders.
Tech-Savvy: Comfortable with Notion, Asana, Google Workspace, Dropbox, Box, and other relevant tools.
Bias for Action: Demonstrated ability to take initiative and push projects to completion.
Organized & Detail-Oriented: Capable of juggling numerous tasks and projects without missing deadlines.
Athletic & Lifestyle Coordination: Willingness to learn and manage a busy endurance athlete's training schedules.
