We are seeking a Business Systems and Automation Manager to oversee all our company's systems and enhance efficiency through smart automation. You will collaborate across departments to understand challenges, streamline workflows, and integrate the tools we use daily. Your mission is straightforward: make the company operate smoother, faster, and with less manual effort. You will report directly to the CEO (an automation enthusiast) and have full ownership of our systems—from CRM to ERP and everything in between. You should be a systems thinker and process builder, capable of diving into details while keeping the big picture in mind. We are looking for someone who can not only optimize our current systems but also explore new ways to introduce automation and even AI into our workflows. What You'll Do: Oversee and optimize all our business systems : Manage tools like Netsuite, Google Workspace, Shopify, Rippling, Close CRM, and more. Continuously evaluate these systems to ensure we're utilizing them to their fullest potential. Identify and eliminate inefficiencies : Collaborate with different teams to pinpoint where manual work or inefficiencies exist, then implement automation to save time and effort. Implement and configure new systems : Lead the entire lifecycle of new systems—whether it's a new CRM or a piece of automation software. Gather user input, evaluate solutions, implement them, and train the team. Integrate and automate : Use tools like Zapier, Integromat, or other low-code platforms to connect our software and eliminate manual tasks. Design workflows that streamline operations across departments. Specify custom development when needed : While focusing on low-code/no-code solutions, you may need to outline small projects for contract developers when custom code is necessary. Own that process from concept to completion. Train the team : Ensure all employees are proficient with the systems we use. Create clear processes and documentation to make sure everyone can work efficiently. The best systems are only effective if people can use them. Stay ahead of the curve : Continuously research new systems, tools, and best practices in business process automation, bringing innovative ideas to the table. What You'll Need: Experience in managing business systems and automation : You've managed multiple business systems before, ideally across various departments and functions. Automation expertise : Familiarity with tools like Zapier, Integromat/Make, Celigo Integrator.io, etc., and the ability to build smart, repeatable workflows that eliminate manual tasks. Process and systems thinker : Skilled at creating processes that simplify tasks and enhance business efficiency. Independent problem-solver : Capable of diagnosing issues, designing solutions, and implementing them with minimal oversight. Excellent communicator : Able to explain technical systems and processes to non-technical team members, ensuring everyone is aligned. Remote work-ready : Self-driven and able to manage your time effectively while working remotely. Bonus Points: Experience collaborating with developers : You've worked with contract developers and know how to specify technical solutions when custom code is required for automation. Startup or high-growth experience : Comfortable in a fast-paced, ever-changing environment and have held a similar role before.
