Scope of the role: As the Executive Assistant at our client's company, you will play a pivotal role in supporting the co-founders by serving as a central point of contact for clients, partners, and employees.
Your responsibilities will include managing communication channels, coordinating schedules, handling administrative tasks, and ensuring the smooth operation of day-to-day activities.

Responsibilities: Communication Management Serve as the primary point of contact between executives, clients, partners, and employees.
Manage executives' inboxes, prioritize emails, and draft responses.
Schedule and coordinate meetings, calls, and video conferences.
Calendar and Schedule Management Maintain and update executives' calendars, ensuring efficient time management.
Organize and coordinate travel arrangements, including booking flights, accommodations, and transportation.
Prepare detailed itineraries for business trips.
Administrative Support Handle the signing of NDAs, contracts, and other legal documents.
Prepare, review, and manage invoices and financial documentation.
Assist with client onboarding, data recording, and tracking sales conversations.
Project Coordination Oversee and manage specific projects as assigned by executives.
Track project milestones and deliverables, ensuring timely completion.
Coordinate cross-departmental efforts to achieve project goals.
Document Management Create, edit, and maintain documents, presentations, and reports.
Organize and manage digital and physical filing systems.
Ensure confidentiality and secure handling of sensitive information.
Event Planning and Coordination Plan and coordinate company events, meetings, and conferences.
Handle logistics, including venue booking, catering, and equipment setup.
Manage event budgets and ensure cost-effective solutions.
Client and Partner Relations Manage client gifts, corporate communications, and client folders.
Maintain and update contact lists and CRM systems.
Provide exceptional service to clients and partners, addressing inquiries and resolving issues.
Requirements C1 English level, with excellent verbal and written communication skills (Must Have) 2+ years of experience as an Executive Assistant . (Must Have) Proficient in creating and editing documents, spreadsheets, and presentations using Microsoft Office Suite (Word, Excel, PowerPoint) or similar software.
Advanced proficiency in using calendar management software such as Google Calendar, Microsoft Outlook, or equivalent tools to efficiently schedule and organize meetings and appointments.
Skilled in using various communication tools, including email, phone systems, and video conferencing platforms (e.g., Zoom, Microsoft Teams) to facilitate seamless communication.
Knowledgeable in digital filing systems such as Quickbooks Online (Must Have) Proficient in document management software, such as SharePoint and Google Drive, for efficient organization and retrieval of information.
Experienced in utilizing project management tools like Asana, Trello, or Monday.com for tracking tasks, managing projects, and ensuring timely completion of deliverables. (Must Have) Proficient in using CRM software (e.g., Salesforce, HubSpot) to manage client information, track interactions, and support sales and marketing efforts. (Nice to Have) Competent in handling financial documents, including invoices and expense reports, with a strong understanding of basic financial principles.
