Job Summary: We are seeking a highly organized and proactive Administrative Assistant to support the Management Committee (CMC). The ideal candidate will ensure the smooth operation and control of CMC activities, manage agendas with precision, and coordinate meetings and office facilities efficiently. Main Responsibilities: Management Committee Support: Ensure the correct operation and control supporting of the Management Committee (CMC). Maintain 0% issues in agenda management through effective planning, follow-up, booking meeting rooms, and rescheduling appointments as needed. Execute tasks and deliver reports timely, including CMC agendas, out-of-office days, expense reports preparation and approvals, quarterly priorities, and team highlights. Meeting Coordination: Plan and coordinate meetings with Corporate VIPs and external visitors, including room bookings, meals, and transportation arrangements. Stay updated on new productivity tools to support the Management Committee (CMC). Email and Communication Management: Be vigilant with suspicious emails (phishing) and ensure secure communication practices. Office Facilities Coordination: Coordinate critical activities related to office facilities. Oversee cleaning services provided by contracted cleaning personnel. Manage and coordinate tasks for reception and messenger services. HR Coordination: Collaborate with HR for social responsibility and wellbeing activities. Qualifications: Proven experience as an Administrative Assistant or in a similar role. Excellent organizational and time-management skills. Strong communication and interpersonal abilities. Proficiency in office productivity tools (e.g., Microsoft Office Suite). Attention to detail and problem-solving skills. Ability to handle sensitive information with confidentiality. English proficiency B2 + Preferred Skills: Familiarity with productivity tools and software. Experience in coordinating meetings and events.
