The Role
Responsibilities:
1. Coordinate and schedule meetings, manage calendars, and ensure all parties are informed of upcoming commitments.
2. Handle administrative tasks such as managing invoices, preparing proposals and agreements based on templates, and maintaining meticulous records.
3. Facilitate internal and external communication, including managing emails, calls, and messages.
4. Utilize QuickBooks for financial tasks,
and ensure accuracy of financial data.
5. Maintain and organize digital files, ensuring proper file hygiene and accessibility in systems like Google Drive.
6. Support daily operational tasks of the CEO, helping to streamline processes and enhance productivity.
Ideal Profile
Qualifications:
- Strong experience with office management systems like QuickBooks, Asana, Pipedrive, and CRM platforms.
- Proficient in using scheduling and communication tools such as Zoom and Google Calendar.
- Excellent command of the English language, with superior writing and reading skills to effectively liaise with stakeholders.
- Proven ability to manage time effectively, prioritize tasks, and meet deadlines.
- Experience in handling confidential information and multitasking in a fast-paced environment.
- Prior experience in administrative roles, ideally supporting senior management or in a similar business setting.
