Team OverviewYou will act as an Administrative & Facilities Sr. Analyst.
Your role is to support the SSL Administration & Facilities Sr.
Manager by creating and maintaining a safe and pleasant work environment ensuring high levels of organizational effectiveness and employee experience, communication, and security.
This role will be based in Bogota, Colombia and will remotely support the South Cone offices (Lima, Santiago & Buenos Aires).
Duties include running routine safety inspections, corresponding with employees and contractors, supporting in the maintenance and refurbishment works, maintaining records, supporting with administrative tasks, supervising facilities staff/vendors, and ensuring that all the permits, licenses, and/or authorizations in administrative matters are compliant with the local legislation.
Our ideal candidate is experienced in facilities operation, vendor management, and strongly oriented to customer service.
Role ResponsibilitiesReceiving, solving, and/or directing to appropriate channel all facilities related requests from employees.Providing administrative support such as purchase order creation, vendor payment submissions, reports, and expenditures related to the sites.Collecting, analyzing, and reporting statistical data to provide accurate and current assessment of facility management objectives.Supporting with the on/off boarding of employees Facilities related assets.Managing contracts & renewals with vendors.Ensuring that buildings meet health and safety requirements and that facilities comply with local legislation (permits, licenses, and/or authorizations).
Bringing support on the proceedings.Identifying areas that can make the building more efficient and cost-effective.Participating in the forecasting and budgetary control.Assisting during the renovations or refurbishments projects.Maintaining inventory records and files.Assisting with the organization & logistics of office events.Documenting and updating the Facilities department processes, procedures, and policies.Effectively liaising with other back office departments to ensure smooth operation of administrative activities.Occasional travel required.Role QualificationsBachelor's degree in economic-administrative areas, facilities management or related would be a plus.At least 3 years working in a related position.Excellent written and verbal communication skills and ability to influence others, with ability to create and maintain synergy with stakeholders.Ability to multitask and work in a fast-paced, deadline-driven environment.Accustomed to working in a team and collaborating with all levels within the organization.Demonstrates strong attention to detail.Ability to effectively be flexible in approach, and respond well to pressure.Ability to communicate in English, to work in a diversifying and international culture.EEO StatementWe create customer value – We strive to always create valuable experiences for our users in everything we do.
