Job Responsibilities: Communicate with vendors and employees, responding promptly to all Accounts Payable inquiries.
Set up new vendor accounts, ensuring all required documentation is obtained and verified.
Process check requests and invoices accurately and efficiently.
Audit processed checks and invoices to verify accuracy and completeness of information, ensuring all necessary documentation is approved.
Investigate and resolve vendor inquiries and disputes.
Update cash flow records for Accounts Payable Manager review.
Prepare and submit weekly reports for Accounts Payable Manager review.
Print, prepare, and mail checks as needed.
Prepare and complete daily deposits for remote scanning and bank deposits.
Manage semi-monthly overseas payroll batches.
Perform soft reconciliations of all credit card accounts on a weekly basis.
Organize, file, and maintain records and files within the office.
Enter re-classification, correction, and void entries as required.
Support the 1099 process, year-end tasks, and additional accounting projects.
Education and Experience Requirements: Fluency in English is required (C2 Level).
High School Diploma, GED, or equivalent required.
Bachelor's degree in accounting, finance, or a related field preferred.
1–2 years of experience in Accounts Payable or general accounting.
Required Skills and Abilities: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Drive.
Familiarity with accounting software such as QuickBooks, Bill.com, and Clio.
Strong verbal, written, and interpersonal communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
Excellent time management and organizational skills, with the ability to prioritize tasks effectively.
Keen attention to detail and accuracy in work.
Strong problem-solving abilities and work ethic.
Ability to consistently meet deadlines.
