The Community Association Manager is the go-to source for every issue related to the community associations in their portfolio and must be aware of and able to speak authoritatively on every project and task in the community, from accounting to capital improvements to homeowner relations.Responsabilities: Manage a portfolio of community associations, prepare and attend Board and Member meetings, act as primary liaison to the Board, Members, and Vendors Organize, attend, and run Member and Board Meetings including preparation and communication needed to complete task Ensure proper maintenance of the association's property, create work orders as needed, and ensure they are completed. Oversee the association's fiscal matters including drafting budgets, reviewing monthly financial reports, and ensuring summary is submitted to the association's Board of Directors. Monitor collections process for account portfolio and ensure collections are regularly updated Oversee the AP process in accordance with MPM processes and procedures Manages deadlines and is responsible for client retention Review studies, reports and correspondence related to the operation of the association. Achieve the goals and objectives of the association as set forth in the governing documents Bind insurance on behalf of the HOA as agent of HOA Supervise the operation and administration of the Association in accordance with the management agreement and the Association's policies and procedures including up-to-date records of members. Ensure MPM community management tools are being effectively developed and utilized such as calendar, task lists, accounts receivable report, maintenance report, architectural report, FY operating budget, etc. Ensure the Board of Directors is aware of legal actions involving the Association that manager is aware of. Maintain unit and contract files relating to the operations of the Association. Assist Board of Directors/ACC with the architectural review process and/or routine inspections as necessary. Coordinate and/or oversee inspection of building facilities and/or common area and arrange appropriate follow-up actions as required. Other duties as assigned. Requirements Principles and practices of management, including planning, organizing and assigning work, delegation of authority and accountability management. Principles and practices of budget and resource planning and management, including budget preparation and management, revenue planning and management, purchasing and contract planning, and administration. Working effectively with elected boards of directors, homeowners, local governmental agencies, contractors, insurers, and others. Evaluating, monitoring, planning for, and implementing maintenance and construction needs and projects. Communicating effectively orally and in writing, including preparing written reports and making presentations. Analyzing complex technical and administrative problems, evaluating alternatives, and effective courses of action. Proficiency of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level. Knowledge of conflict resolution techniques at a proficient level. Professional communication skills (phone, interpersonal, written, verbal, etc.). Professional customer service skills. Self-motivated, proactive, detail-oriented, and a team player. Time management and time-critical prioritization skills. Flexibility to attend evening meetings as needed 1 - 3 years of Community Association experience (preferred)
